As soon as one slip came out from the Q-number (queue number) machine, my eyes automatically look to the serving number. Oh great, they are now serving xxx5 and my number is xxx6, no need to wait for very long. I happily enter into the hall and sat down on the empty waiting bench. While waiting with anxiously, I am also exploring around the room. Two staff members were explaining one boy and one other was busy with her computer and another one was busy with arranging documents.
At that time, my mind recall the meaning of word "responsive".
After 20 mins later, knowing that I must fill up the form, I approached to ask the form to fill up in advance.
me: "Hi, I'm here for submitting ............"
staff 1: " it's not time for ...................."
me: "No, my one is appeal case. Last week, I did....... " and so on.
staff 1: "I see, are you graduate?"
As a foreigner, I understand my own way. I've finished my first Bachelor Degree since long long ago and ...of course I am graduate.
"Yeah....." I reply together with nodding.
"Oh for that case, you have to fill up this form" and give one empty form to me.
Then I've filled up, there I saw some of the discrepancy of information which I've received by phone earlier. Nevermind, I'll asked when they called my Q-number.
Then my number was called by the staff counter who was busying with her computer. She was serving other student while I was continue filling up my form. Then I give the finished form to her. Then she asked me what I am applying for I explained my long story again...... she seems already knew about my story and says;
Staff 2: "You are filling up the wrong form" then look to the staff 1.
Staff 1: "That's why, I asked you weather you are graduated or not, you says yes then I give you full membership form"
me: "Yes, I'm graduated already, why?"
Staff 1: "Sorry"
that's only her words, but I've realised myself that she was asking me weather I've been finished this course and coming there to renew the current membership.
Luckily, the staff 2 understand the situation or she may already knew my long long story and she copied all my data into the right application form and asked me to sign on it.
I am having problem with that application now as I filled wrongly in front of that Staff 1 last year.
There I recall what Ms Fiona Lloyd, my great Communication Skill Trainer, says: "As a public relations staff, If you want to give a message to people, you must step into their shoes of target audience" means must understand the knowledge lavel of your target audience so that you know how to make understand them.
As new foreign students who want to apply for the study program at that place, you must aware yourself that:
- you may not understand their English as they will speak too fast with their dialect,
- you tell them pardon please for two times they may tell you "forget it"
- they may not be very patient about your questions
- they may not refer you where to go and ask to who
Finally, please hire "Agent" with extra money to deal with them!!!!!!!
